About the role
As part of our continued growth at TAC Healthcare, we are looking for a QHSE Administrator to join our team.
You will provide administrative and operational support across quality, health, safety, environmental compliance and document control. The role will support the effective management of TAC Healthcare’s Integrated Management System and help ensure organisational records, processes and documentation remain accurate, controlled and compliant.
You will work closely with colleagues across the business, supporting compliance with relevant legislation, internal policies and ISO 9001, ISO 14001 and ISO 27001 standards.
What you will do
- Support and maintain TAC Healthcare’s Integrated Management System within Microsoft SharePoint.
- Maintain accurate quality records, audit reports, corrective action logs and compliance documentation.
- Support internal and external audits, inspections and compliance reviews.
- Monitor non-conformances, incidents and improvement actions.
- Support quality assurance and continuous improvement activities.
- Maintain health and safety records, training logs, risk assessments and incident reports.
- Help coordinate workplace inspections and health and safety audits.
- Record and monitor accidents, near misses and corrective actions, escalating them when required.
- Coordinate employee training, inductions and refresher training relating to quality, compliance and health and safety.
- Prepare health and safety reports and supporting compliance documentation.
- Manage document control processes within SharePoint, including version control, approvals, storage and archiving.
- Process and distribute policies, procedures, forms and operational documents.
- Monitor document review schedules and support timely updates and approvals.
- Maintain the secure and confidential handling of sensitive information and records.
- Maintain training and competency records for employees using SharePoint systems and processes.
- Support the development of SharePoint subsites, information pages, lists and document libraries.
- Create and manage Microsoft Forms and Power Automate workflows for data collection.
- Prepare reports, meeting minutes and compliance documents.
- Maintain accurate registers and tracking systems.
- Support the coordination of meetings, audits and wider compliance activities.
- Respond to internal and external enquiries professionally and promptly.
About you
- Previous administrative experience within quality, health and safety, compliance or document control.
- Strong organisational and document management skills.
- Excellent attention to detail and accuracy.
- A good understanding of quality assurance and health and safety principles.
- Confidence handling confidential and sensitive information.
- Proficiency in Microsoft Office and electronic document management systems.
- Strong written and verbal communication skills.
- The ability to prioritise competing tasks and meet deadlines.
- A professional, reliable and organised approach.
- The ability to work independently and collaboratively.
- A flexible approach to changing priorities.
- Strong problem-solving skills and a commitment to continuous improvement.
Experience working within a regulated or compliance-focused environment would be advantageous. Knowledge of ISO standards, quality management systems, SharePoint, Power Automate or compliance software would also be beneficial.
